Information we collect

KnightMUN collects the information needed to run a school conference: names, emails, school details, advisor contact information, delegate grade levels, committee preferences, country preferences, dietary notes, accessibility notes, registration status, form completion status, and conference-related messages.

How we use information

• To process school, advisor, delegate, chair, volunteer, press, and refund forms.
• To send registration confirmations, logistics updates, assignments, deadlines, and portal links.
• To prepare rosters, committees, awards, check-in lists, meals, forms, and safety records.
• To let authorized advisors, chairs, and administrators manage the conference.

What we do not do

• We do not sell personal information.
• We do not use advertising trackers or behavioral ad profiles.
• We do not store card numbers or banking information.
• We do not share student information publicly except for normal conference materials such as assignments, placards, passes, or awards when appropriate.

Sharing and access

Information may be viewed by KnightMUN administrators, relevant school advisors, assigned chairs or staff, and service providers that help operate the site, send email, store files, or manage conference data. Access is limited to the roles needed to run the event.

Students and minors

KnightMUN is designed for high-school students. Advisors are expected to submit or supervise delegate registration details. Students may also complete required conference forms and onboarding steps. We treat student information carefully and use it only for conference purposes.

Retention and deletion

We keep active registration records through the conference and a reasonable post-conference period for operations, history, dispute resolution, and planning. You may request correction or deletion by emailing nphs.knightmun@gmail.com.

Security

We use role-based access, hosted infrastructure, and limited administrative access to protect information. No website can guarantee perfect security, but KnightMUN works to keep conference information private and controlled.
